Celebrating the Success of the IOT/GMIS PeopleSoft Financials Project

We are thrilled to celebrate the success of the Indiana Office of Technology (IOT) and the Government Management Information System (GMIS) PeopleSoft Financials project. This game-changing initiative aimed to enhance the State of Indiana’s digital capabilities by upgrading to PeopleSoft Financials version 9.2. Launched in November 2019, this project has positively impacted over 8,000 users across Indiana, transforming their interactions with financial systems.

Project Overview and Objectives

The primary objectives of the IOT/GMIS PeopleSoft project were to develop and deliver comprehensive training materials for thousands of state staff who use PeopleSoft Financials. This included creating training courses for various financial modules such as Accounts Payable, Asset Management, Query Running/Writing, Inventory, Accounts Receivable, Billing, Reporting, General Ledger, and Agency Budget Analysis. The project team, led by Training Manager and certified Project Management Professional Renita Kelley, worked diligently to ensure that the training materials were comprehensive, user-friendly, and effective in enhancing the skills of the state staff.

One of the standout achievements of this project was the successful transition from Instructor-Led Training (ILT) to Computer-Based Training (CBT). Over the project duration, we converted approximately 150 instructor-led training (ILT) courses into engaging and accessible e-learning modules. This shift modernized the training process and made it more cost-effective, allowing for a broader reach and greater impact. The benefits of this transition include increased accessibility, an authorized library of documentation, decreased impact on productivity due to fewer hours in the classroom, and on-demand training to fit the learner’s schedule.

Positive Client Feedback

The success of the IOT/GMIS PeopleSoft Financials project has been widely recognized and appreciated by various stakeholders. Scarlette Harden, the IT Director of GMIS, expressed her gratitude for the significant role that Briljent and vendor partner Workstream played in the project’s success. Their expertise and commitment have made a significant difference.” Abby Raia, Training Project Manager/Sr Business Analyst with IOT, described the project as “The epitome of what it means to truly partner for the success of a project,” noting our strong collaboration.

Renita shared her enthusiasm about leading the project and its outcomes. This recognition is a testament to the hard work and dedication of the entire project team. We formed a partnership so powerful that any lines of distinction between state and vendor teams dissolved when members of Briljent were invited to Scarlette’s retirement party! Briljent has always defined our success by our client’s success, and we were honored to share this celebration of a great project and a truly impactful leader!

Impact and Collaboration

The scope of the project’s impact is significant, with up to 30,000 state employees having access to PeopleSoft Financials, 8,000 people within the scope of the training, and around 4,000 users directly trained. The project has improved state financials, program funding, and more. We worked very collaboratively with the state and were immediately welcomed into their team meetings to serve as an extension of their team. The relationships we built were very important to us and created the opportunity for this initial project. We continue supporting the state with ongoing course maintenance, one of the signature enhancements we offer to the industry standard ADDIE training model. We understand the importance of maintaining training materials through ongoing system refinements and business process changes.

Looking Ahead

As we celebrate the success of the IOT/GMIS PeopleSoft Financials project, we look forward to continuing our efforts to enhance the Indiana Office of Technology and the Government Management Information System’s digital capabilities. The positive feedback and recognition we have received motivate us to strive for even greater collaboration and achievements in the future.
